Granting Permissions to your Outlook Calendar

This article will show you the step-by-step process for granting another user access to your Outlook calendar. Please refer to the article, Adding Events to Calendars in Outlook, after you grant a user sharing access for steps on how to add items to a users calendar.

From your Calendar tab under the Home menu, select Share.

From here, you can search for any user within NCCU, or type  their email address into the add box. Once you are done adding users, click on the Share button.

After clicking the Share button, choose the access level you wish to share with them, then click Share.

The user or user's you selected to share your calendar with will receive an email invitation for sharing. As soon as the user accepts the sharing invitation, they will see your calendar in their calendar list within Outlook.

Different Access Levels to Share

There are several different access levels available when sharing your calendar. Below are the different options with some explanations.

Can view when I'm busy

When sharing this option, the user who has access to your calendar will only be able to see the times you are available.

Busy Times within Outlook

Can view titles and locations

When granting this level of access, a user will be able to see your availability as well as the subject title and location of your events.

Title and Locations within Outlook

Can view all details

A user whom you grant this access level will be able to see your availability, the title and location of your events, as well as any detials within the events themselves just as you see.

Can edit

If you grant a user this access level, the user will be able to not only view your calendar, but also add and delete items from your calendar as well. This may be useful if you are working within a team that assigns different tasks from your help desk or other operational items.

How to Stop Sharing Your Calendar

You are able to remove a users access to your calendar at anytime. Please be aware that it may take a little time for Outlook to sync with the user and stop the sharing privileges.

  1. Click on Calendar.
  2. Click on Share.
  3. Click on the trash icon to stop sharing privileges.
