Banner 9 Employee Self-Service – SHRA Exempt and EHRA Reporting

This article explains how SHRA Exempt and EHRA employees should report their monthly work hours using the Banner 9 Employee Self-Service portal. Banner 9 Employee Self-Service is also known as the Employee Dashboard, where employees can access time entry, pay information, and other employment-related tools.

Employee Dashboard

After logging in to Employee SSB9, you’ll see a screen that looks similar to the one below.

This is your main dashboard, where you can access time entry, pay information, benefits, and more.

View Leave Balances

To check your leave balances, select "Full Leave Balance Information" from the dashboard.

You will see a screen like the one below, showing your available leave.

Note: Leave balances are accurate as of the last payroll. They are not updated daily.

Pay, Earnings, Benefits, Taxes and Job/Employee Summaries

You can view details about your:

  • Pay
  • Earnings
  • Benefits
  • Taxes
  • Job Summary
  • Employee Summary

There is also additional information available, such as: All Pay Stubs, Direct Deposit Information, etc.

To explore these options, refer to the highlighted sections in the screenshot below.

Enter Your Leave Report

To begin entering your leave time, click on the "Enter Leave Report" button, as shown in the screenshot below.

Once you see the calendar view, follow these steps:

  1. Click on the first day you are reporting time for.
    In this example, it's February 1 (2/1).

  2. If you see a dark purple line, that indicates the reporting period.

    • Important: Dates outside of the purple line (such as February 29, 30, or 31) are not part of the current reporting period.

    • Always make sure you are recording time on the correct dates.

  3. When you click a date, it will turn blue, confirming your choice.

  4. To enter your leave hours: Click on the date you want to complete. (Example: Click on February 1)

  5. Click the down arrow next to "Earn Code" to see the list of leave types (e.g., Sick, Vacation, Community Service).

  6. Select the appropriate Earn Code, highlight it, and enter the number of hours in the Hours box.

  7. Repeat this process for each day in the month where leave was taken.
    • You can enter multiple types of leave on the same day, if needed. See Tuesday, February 2 as an example on the next screen.
  8. Click Save to record your entry.

Editing and Copying Leave Entries

Once you’ve entered your leave hours, you’ll see something like this in the screenshot:

  • 4 hours of regular hours worked

  • 4 hours of vacation leave

If you made a mistake, such as entering vacation leave when you meant to select sick leave, follow these steps:

  • Click the minus sign (-) next to the incorrect entry.
    This will remove the entry entirely, allowing you to either add a new entry or leave it blank.

Using the Copy Feature

You may notice a copy icon (two overlapping rectangles).

  • Be careful with this feature, as it can copy an entry you may not want to repeat. Correcting it can be tricky.

Editing with the Pencil Icon

Next to the copy feature, there’s a pencil icon.

  • Click it to edit any entry you’ve made. This will allow you to make adjustments to your hours or Earn Code.

Moving to the Second Week

Once you’ve finished entering hours for the first week:

  1. Click the “>” icon to move to the next week in the reporting period.

  2. Continue entering your hours for each week, just as you did for the first.

    • Repeat this process for each week of the month until all leave time has been recorded.

  3. When all entries are complete, click “Preview” to review your leave report before submitting.

Preview Your Leave Report

On the Preview screen, you’ll see a detailed summary of your leave report.

In this example, 8 hours have been recorded:

  • 4 hours of Vacation Leave

  • 4 hours of Special Leave

If you have any comments to include:

  1. Scroll to the bottom of the page.

  2. Enter your comments in the Comments box.

  3. Click Submit to finalize your leave report.

Submitting Your Leave Report

  1. Enter any comments you need to make regarding your leave report in the Comments section.

  2. Certify your hours:

    • Check the box that certifies that “the time entered represents a true and accurate record of my time and I am responsible for any changes made using my ID.”

  3. Submit your report by clicking the “Submit” button.

  4. If your supervisor has NOT approved your report, you can recall it to make changes.

Leave Report Statuses and What They Mean

  1. Not Started

    • The employee has not opened or started their leave report.

  2. In Progress

    • The employee has started their leave report, but it has not been submitted yet.

  3. Pending

    • The employee has submitted their leave report and is now waiting for supervisor or HR approval.

  4. Returned for Correction

    • The supervisor or HR has returned the report for correction. The employee needs to make adjustments before resubmitting.

  5. Completed

    • All levels of approval have been completed, and the leave report is finalized.

Exempt Payroll Calendar – What It Means and How to Read It

The Exempt Payroll Calendar helps SHRA Exempt and EHRA employees understand important payroll and leave processing dates. Here’s how to read each section:

  • Period
    Indicates the timekeeping month being reported.

  • Payroll
    Refers to the monthly payroll cycle when leave will be processed.
    Example:

    • MN 04 = April payroll

    • MN 05 = May payroll

  • From/To (Calendar Days Covered)
    Shows the exact calendar dates being processed for that payroll month.

  • Submit Deadline
    This is the employee’s deadline to submit their leave report.

  • Approve Deadline
    This is the supervisor’s deadline to approve submitted leave reports.

  • View Bal on WEB
    The date when updated leave balances will be available online.
    (Note: Leave balances are updated only after payroll is processed.)

  • Accrual Thru
    Shows the month through which vacation and sick leave accruals are included in the updated balance.

  • LvTaken Thru
    Indicates the latest date through which leave taken or comp time accrued is reflected in the new balance.
